To copy text from a scanned item

You can copy text from a scanned document or image item for use in a text editing, word processing or spreadsheet program.

From the PaperPort desktop, you can copy all text within an item. From the Image View window, you can copy all text or only the portions that you want.

On the PaperPort desktop

  1. Select the image item that contains text you want to copy.

  2. Click the right-mouse button, and then, on the shortcut menu, click Copy Text

Select PaperPort copy text Copying text from a scanned item Copy Text on the Item ribbon.

The OCR software extracts the text and copies it to the Windows Clipboard.

  3. Open the program in which you want to insert the text, and use Paste to paste the text in a file.

In the Image View window

  1. On the Page ribbon, choose  PaperPort select Copying text from a scanned item Select Area

  2.  Draw a box around the text you want to copy.

  3. Click the right mouse button, and then click Copy Text.

    — or —

The OCR software extracts the text and copies it to the Windows Clipboard.

  4. Open the program in which you want to insert the text, and use Paste to paste the text in a file.

If you have OmniPage, you can perform OCR with fewer limitations and better results. See Using OmniPage with PaperPort.

Tips

After you paste the text, check the text for any mistakes. Although the OCR process is usually accurate, it is not always perfect. Best results occur when you use a clean original.

For PaperPort Image items that have been indexed in the All-in-One Search index, you can view and copy any part of the text by clicking View Text in Item Properties.
