Using the All-in-One Search pane PaperPort search Using the All in One Search pane

Use the All-in-One Search pane to enter search criteria and select options for finding your PaperPort items.

  1. On the Desktop ribbon, choose PaperPort search Using the All in One Search pane All-in-One Search in the Function Pane group. 

  2. Specify the scope of the search: click All items or First item

  3. Specify where to look for the item or items: in the Look in box, select All PaperPort folders, Current folder, or Current and subfolders. 

  4. Decide if you want to initiate a file search or an index search:

    For a file search, enter item properties in the Name, author, keywords box. To refine your search, expand the pane and select only the properties you want to include in the search.

    For an index search, first enter criteria in the Name, author, keywords box or the Containing indexed text box.
    Next, specify the level at which you want to search the All-in-One index: click either Exact match or Approximate. Then, select Use All-in-One index

  5. Click Search to start the search.

If you selected All items, PaperPort displays the Search Results pane in the desktop window. The Search Results pane lists all the found items.

If you selected First item, PaperPort finds the first item that matches the search criteria and automatically selects it on the desktop.

Choose PaperPort find next Using the All in One Search pane Find Next in the Document group on the Item ribbon, or press F3 to find the next item.

To get an index search of indexed items without a file search:

  1. Turn on the Use All-in-One index checkmark.

  2. Enter a search string in the ‘Containing indexed text’ edit box

  3. Turn off all six file search checkmarks, so the ‘Name, author, keyword’ edit box becomes grayed.

  4. Define other search criteria and press the Search button.

To get a file search without an index search

  1. Turn off the Use All-in-One index checkmark.

  2. Enter a search string in the ‘Name, author, keyword’ edit box

  3. Turn on as many of the six file search checkmarks as you wish.

  4. Define other search criteria and press the Search button.

To get a file search and an index search on a single search string

  1. Turn on the Use All-in-One index checkmark.

  2. Enter a search string in the ‘Containing indexed text’ edit box

  3. Make sure the ‘Name, author, keyword’ edit box is empty

  4. Turn on as many of the six file search checkmarks as you wish.

  5. Define other search criteria and press the Search button.

You will see all files where the single search string occurs either in the indexed text or in the file information.

To get a combined file and index search

  1. Turn on the Use All-in-One index checkmark.

  2. Enter a search string in the ‘Containing indexed text’ edit box

  3. Enter a search string in the ‘Name, author, keyword’ edit box. It can be the same string or a different one.

  4. Turn on as many of the six file search checkmarks as you wish.

  5. Define other search criteria and press the Search button.

    You will see only files where your search strings occur in both the indexed text and in the file information. This means you are likely to find very few files.

Tip

Updating the All-in-One index ensures that you find the most recent documents, images, and words contained in your documents. To update the index at anytime, select the Use All-in-One index check box and then click the Update Index button.
