This feature is available only in PaperPort Professional.

 

DesktopDelivery is an application that monitors network or local folders for incoming files of specified types (such as PDF, TIFF, JPEG and MAX). It can also monitor e-mail folders for attachments. It imports these files to specified PaperPort DesktopDelivery folders.

To monitor folders

  1. In the Folders pane right-click the folder you want DesktopDelivery to monitor and choose DesktopDelivery from the shortcut menu.

    — or —

    choose Properties from the shortcut menu.
     

  2. The Folder Properties dialog box displays. Mark the checkbox Deliver files from a network or local folder.

  3. Locate the folder you want DesktopDelivery to monitor and click OK. DesktopDelivery will regularly monitor this folder for incoming JPEG, MAX, PDF or TIFF files.

  4. To convert the imported files to PDF, mark the checkbox Convert documents to PDF.

  5. Click OK.

  6. On the Tools ribbon, choose PaperPort desktop delivery Monitored folders — DesktopDelivery DesktopDelivery.

  7. To change an already defined DesktopDelivery Folder or Monitored Folder, double-click on the given list item, or highlight it and click Modify. The Folder Properties dialog box lets you to make the necessary changes.

  8. Inspect the Interval for checking the folders list, and choose another interval if necessary.

  9. Specify the behavior of PaperPort under When documents are retrieved.

  10. Before clicking OK, please remember to mark the checkbox Run DesktopDelivery when PaperPort is started to enable execution of the program.

To monitor E-mail folders

  1. In the Folders pane, right-click the folder you want DesktopDelivery to monitor and choose DesktopDelivery from the shortcut menu

    — or —

    choose Properties from the shortcut menu.
     

  2. The Folder Properties dialog box displays. Mark the checkbox Deliver files from your e-mail folder.
     

  3. If you have both Microsoft Outlook and Lotus Notes installed on your system, first you have to choose which e-mail client to monitor. Depending on the availability of e-mail clients on your system, or your choice, the next step may vary.

    Microsoft Outlook users:
     

  4. Select your Profile. Click OK.

  5. Choose an e-mail folder to monitor. Click OK.

    Lotus Notes users:

  1. Lotus Notes monitoring is always set to the default user by DesktopDelivery. Provide the password for it.

  2. Choose an e-mail folder to monitor. Click OK.

E-mail monitoring will not move the incoming relevant attachments (of formats JPEG, MAX, PDF or TIFF) into the designated PaperPort folder – only copy them. To convert the imported files to PDF, mark the checkbox Convert documents to PDF.

Having adjusted and started the program, its icon PaperPort desktop delivery Monitored folders — DesktopDelivery appears in the System tray. Right-click it to display the program shortcut menu. Choose Settings to display DesktopDelivery Manager. To exit the program with all your settings saved, click Close.

DesktopDelivery can be set to deliver to any of your PaperPort folders. In addition, one monitored folder can have multiple DesktopDelivery Folders assigned to it.

Note

If your computer is not part of any domain and Outlook is not started, DesktopDelivery may prompt for your Outlook password.
